Accounts Assistant

Key Responsibilities

  • Keep purchase day book up to date with incoming invoices with supplier references and payment dates
  • Code all supplier invoices to the correct nominal ledger and supplier account
  • Post all supplier invoices to the ledger, ensuring they are matched to purchase orders where applicable
  • Post rechargeable expenses to royalty statements once a quarter
  • Produce weekly payment runs via BACS or cheques, ensuring all payments are made by the due dates and for the correct amounts. Update and allocate payments to the purchase ledger or sales ledger in a timely manner
  • Monitor the company office bank account to ensure sufficient funds are in the account for payment of office related expenditure & organise internal bank transfers as necessary
  • Create new supplier records for incoming purchase invoices as necessary
  • Check & process monthly credit card statements, liaising with the PA & Marketing Manager as appropriate
  • Filing of purchase invoices, staff expenses & credit card statements
  • Check and process staff expenses once authorised by the Managing Director
  • Control and reconcile petty cash, ensuring all vouchers are signed & receipts attached where applicable
  • Maintain bank reconciliations for all bank accounts, including updating receipt logbooks
  • Post sales invoices in Filmtrack once checked all accurate & liaise with the legal/credit control team if any discrepancies
  • Attend weekly sales business meetings with the Sales and Legal teams for updates on incoming receipts
  • Review current processes & suggest any improvements to the current working practices where possible
  • Assist the Financial Controller & Managing Director with any other duties as necessary

General Requirements

  • Purchase and/or sales ledger experience (at least one year)
  • Experience in Excel & other Microsoft Office packages
  • ACA/ACCA/CIMA studier welcome but not essential
  • Proactive individual who can manage own workload & priorities
  • Good interpersonal skills and ability to communicate with other departments and external clients where applicable
  • Experience of the media industry would be advantageous
