Accountable to: Programme Manager, Digital Education Futures Programme, BIU

Job Summary

The Business Improvement Unit delivers business change projects which focus on user outcomes and benefits and involve stakeholders throughout the project lifecycle. System solutions that underpin operational processes are enablers to improvements in service delivery. Projects generally span across the School, impacting large numbers of Users and involve the design and implementation of change that deliver significant strategic and operational benefits.

The postholder will provide professional business analysis services. This is a key role to ensure successful delivery of business change, delivering benefits across the School.

Duties and Responsibilities

  • Become familiar with regulatory requirements and School policies and procedures relevant to the programme/project.
  • Gather business requirements relating to the programme/project.
  • Lead on third party vendor procurement, facilitating proof of concept and product/service evaluation where necessary.
  • Be ready to challenge the status quo in current business processes related to the programme and proactively identify and solve problems, showing a willingness to understand issues beyond the boundaries of the programme where necessary.
  • Identify areas where policies and procedures and other supporting artefacts such as templates need to be created or modified in line with the programme.
  • Analyse data flows and design end-to-end solutions which ensure data integrity.
  • Analyse the requirements and design lean user-centric business solutions for the programme/project.
  • Take ownership of key deliverables and develop viable solutions with ‘to be’ processes, to resolve business issues.
  • Maintain awareness of emerging technologies and product development roadmaps related to the programme/project, and be able to apply knowledge of developments in the IT sector to the benefit of the School.

Problem Solving and Initiative

  • Become familiar with regulatory requirements and School policies and procedures relevant to the programme/project.
  • Gather business requirements relating to the programme/project.
  • Construct viable options to address business issues.
  • Lead on third party vendor procurement, facilitating proof of concept and product/service evaluation where necessary.
  • Be ready to challenge the status quo in current business processes related to the programme and proactively identify and solve problems, showing a willingness to understand issues beyond the boundaries of the programme where necessary.
    This may include gaps, overlaps or redundancies in the processes.
  • Identify areas where policies and procedures and other supporting artefacts such as templates need to be created or modified in line with the programme.
  • Analyse data flows and design end-to-end solutions which ensure data integrity.
  • Analyse the requirements and design lean user-centric business solutions for the programme/project.
  • Take ownership of key deliverables and develop viable solutions with ‘to be’ processes, to resolve business issues.
  • Maintain awareness of emerging technologies and product development roadmaps related to the programme/project, and be able to apply knowledge of developments in the IT sector to the benefit of the School.
  • Contribute to the testing of the solutions as required.
  • Contribute to the training requirements arising from the solutions as required.

Teamwork

  • Provide business analysis support throughout the programme/project lifecycle.
  • Work closely with programme and project managers and team members to contribute towards clarity and scope of deliverables for the programme/project.
  • Work closely with the SME’s and Stakeholders monitoring and assessing change programme status and requirements.
  • Be the business analysis expert for the programme, demonstrating ‘best practice’ in accordance with BIU standards, and providing guidance and relevant constructive feedback to other members of the programme.
  • Make impactful business decisions, in consultation with key stakeholders.
  • Manage the relationship between BIU and programme/project stakeholders.
  • Contribute to the development of the BIU as required.

Planning and Organising

  • Organise, facilitate and lead workshops to gather business requirements, analyze options and develop process models that define operational ‘To Be’ processes for the programme/project.
  • Manage own workload in order to meet set delivery deadlines.
  • Lead in testing the solutions, including leading in User Acceptance Testing (UAT), as required.
  • Lead in training provision arising from implementing solutions for the programme, as required.

Communication

  • Communicate effectively with staff at all levels in the BIU and across the rest of the School to ensure high quality services within the programme/project are delivered.
  • Facilitate and lead workshops in order to achieve agreed deliverables.
  • Liaise with Business Analysis Community of Practice groups and individuals both within and outside the School, creating networks to share good practice and knowledge.
  • Contribute to the BIU methodology training in Business Analysis practices such as Process design, and deliver elements of the training as required.
  • Attend relevant conferences/seminars/webinars in latest IT developments and Business Analysis practices and effectively disseminate information gained.
