I am currently working alongside a leading media brand based in Central London to recruit an experienced WIP Manager on a 12 month fixed term contract. The role, which will report in the Client Finance Manager, will involve management of all work in progress and net working capital accounts for one of the agencies global key accounts.

Duties and Responsibilities

* Job Management
o Ensuring adherence to the job opening process
o Ensuring timely management and follow up on jobs with client teams
o Explaining to client team how the job processes work on a client and why
o Regular meeting with client teams to review open jobs
o Working with Commercial Accountants to ensure best use of Maconomy for each client's specific needs
o Billing to client on a timely basis, ensuring invoices are in line with client processes and internal processes
o Keeping a log of Credit Notes and obtaining relevant sign off
o Advising Commercial Accountants if client teams are not following internal processes or not making themselves available for WIP reviews
o Reviewing open PO's and advising teams to close where appropriate
o Ensuring jobs are closed down correctly when necessary
o Ensuring Project Management has signed off each closed job and reviewed the profitability

* Client Contracts
o Ensuring Maconomy Master-data is correct
o Ensuring you understand the VAT rules in general and each client's specifics are adhered to
o Ensuring you understand the foreign currency policy on each client and it is being adhered to

* Systems
o Ensuring best practice in use of all systems
o Providing training on Maconomy to client teams as required


* Finance team
o Liaising with Financial team on supplier set ups, urgent payment requests, timesheet management and Maconomy queries


* Compliance
o Assisting where appropriate with any client, SOX or other audits
o Raising a query if there is an area of compliance which you do not understand or appears to be a duplication
o Ensuring all internal procedures and policies are adhered to
o Ensure Purchase Order policy is adhered to - i.e. no approved PO's issued after supplier invoice date, highlighting to CAs where there is breach of the policy

The ideal candidate will be experienced in WIP management, contract management and billing within the advertising and marketing space, be an established Maconomy user and have immediate availability or on short notice.
